Two bars can order coasters with the same logo and the same budget and end up with completely different results, because the size, shape, and thickness were specced without much thought. A coaster that is too small leaves rings on the bar top, one that is too thin curls into a taco after two pours, and a shape that fights the artwork looks amateur. Speccing a coaster well is not complicated, but it does have an order of operations. Here is how to work through it so the coaster you approve is the coaster your venue actually wants.
Size the coaster to the glass, not the table
The job of a coaster is to sit under the widest part of the drink and catch condensation, so the base of your typical glass sets the size. A standard round coaster is 3.5 or 4 inches in diameter, and that range covers most pint glasses, rocks glasses, and pub tumblers with a little margin to spare. Drop to a 3-inch round for stemware and wine service, where the foot of the glass is small and a big coaster just looks clumsy. Go up toward 4.25 inches or more only if you are serving steins, large mason jars, or milkshakes where the base is genuinely wide.
A useful reality check is that coffee-cup and glass bottoms commonly measure between 60 and 90 millimeters across, so a 3.5-to-4-inch coaster gives you a safe, condensation-catching margin without wasting board. If your venue uses one signature glass, measure its base and add roughly three quarters of an inch on each side; that single number will settle most of the sizing debate.
Round, square, or a custom shape
Round is the default for a reason: it prints cleanly, has no corners to dog-ear, and reads as classic bar-ware. Square coasters, standard at 4 by 4 inches and rarely larger than 6, give you more straight-edge real estate for text and a more modern, design-forward look, and they almost always carry a small corner radius of about a quarter inch so the points do not fray. The North American beer coaster is often a 3.5 by 4-inch rectangle, and European beer mats run in millimeter formats, commonly 90 up to 105 millimeters, which is worth knowing if you are matching an imported brand look.
Custom die-cut shapes, a bottle silhouette, an arch, a hexagon, are the strongest branding move and the priciest, because they need a cutting die and tighter artwork tolerances. The chart below lays out the common footprints from smallest to largest so you can see where your choice sits.

One caution on shape: the more a coaster departs from a circle, the more your bleed and safe margins matter, because a die that lands even a millimeter off will clip a corner of tight artwork. Keep critical text at least an eighth of an inch inside the trim on any non-round shape.
Thickness: the 40, 60, and 80-point decision
Coaster board is measured in points, where one point equals one thousandth of an inch, and the three standard pulpboard weights behave very differently in service. Forty-point board is about a millimeter thick, cheap, and light, and it warps after only a few wet uses, which makes it right for one-day work such as festivals, trade shows, and beer tastings where the coaster is nearly disposable. Sixty-point board, roughly 1.4 millimeters, is the standard for a reason: it is the best balance of stiffness, absorbency, and cost, and it holds up to a normal bar shift. Eighty-point board, around 2 millimeters, is the stiffest and most absorbent, the choice when you want a coaster that lasts, feels substantial in the hand, and reads as upscale.

The absorbency point is the one buyers underestimate. A thicker, uncoated pulpboard wicks and holds more condensation, which is the whole reason a bar coaster works; a thin board saturates fast and starts to warp. If the coaster is going to see real drinks rather than a single promotional pour, the extra cost of 60 or 80-point board pays for itself in how the coaster looks after an hour on a wet bar.
Coated or uncoated, and the sharpness trade-off
Pulpboard can be printed uncoated or given a light top coating, and the two pull in opposite directions. Uncoated board absorbs water beautifully but prints a touch softer, with colors sinking slightly into the fiber. A coating or varnish makes artwork sharper and colors pop, but it also repels water, which undercuts the coaster’s day job. The common compromise is to print on absorbent uncoated stock and accept a slightly matte look, or to coat only for a keepsake or retail coaster where appearance beats function. Decide this based on whether the coaster is primarily a working bar mat or primarily a branded object people take home.
Putting your spec sheet together
A clean coaster spec comes together in one line once you have made the decisions above: shape and size driven by the glass, thickness driven by how long the coaster needs to survive, and coating driven by whether looks or absorbency wins. For a working bar, a 3.5 or 4-inch round in 60-point uncoated pulpboard is the safe, sensible default that almost never disappoints. For a wedding or a retail keepsake, an 80-point square or die-cut shape, possibly coated, earns its higher cost. Set those three variables deliberately rather than accepting whatever the order form defaults to, supply artwork with a proper eighth-inch bleed, and the coaster you approve on screen is the one that will actually work under a glass.
